Documents Archive Management Ltd - DAM - is a newly-established company which provides clients with secure and pragmatic solutions for their documents through offsite archive centres.

Proper document archiving and management allows companies to save on operating costs, improve employee productivity, and protect sensitive documents from disaster or from unauthorised access. The primary objective of this archiving concept is that of assisting clients in freeing expensive office space, by moving their archives to a secure offsite location, while still retaining full access to their records, which can be delivered to their office within any required time frame.

"We look at our service in terms of offering to our clients, a management solution, combining discreetness, confidentiality and the authorised ease of access, thanks to the deployment of a unique tried and tested software, aimed at supporting the archiving function we offer," said Maurice Abela, the company's CEO.

The unique software adopted by DAM allocates a user name and password to clients, allowing them to log on to an online area from the DAM website and from there on the client is free to submit requests, track, recall and communicate on line at any time at their convenience.

DAM personnel will collect the documents in a specially provided bar-coded box, which will be sealed and scanned on the premises in the presence of the customer. For confidentiality purposes the client's name or the contents details will not appear on the box and tracking will only be made possible through the unique barcode assigned to it. The box will then be transferred to a dedicated archive centre which is equipped with an array of security equipment including 24-hour manned security, intruder detection systems, digital CCTV coverage and fire fighting automatic systems.

Once the documents are archived, the client can request retrieval of the required box or boxes at any time, by keying in the unique bar code in the online system. Clients will subsequently receive the documents at their office within the agreed time frame. The client has the comfort of a unique software supporting the archiving function from delivery to the archive centre up to the destruction through environment-friendly methods.

The company said that DAM has undertaken the necessary market intelligence surveying, trained its personnel both locally and overseas and recruited professionals to position itself as the leading professional archive solutions provider in Malta. The company has also a strategic alliance with Secure Data Management, specialists of document storage in London, and with O'Neil software solutions of the UK who are world leaders in software applications for the records management industry.

The DAM board of directors is chaired by Joseph FX Zahra and includes Godwin Xerri, Frans Vella and Jonathan Vella.
